Privacy Policy

This is a translation for your convenience. The legally binding version is the German one.

Protecting your personal data is important to us. In accordance with Articles 13 and 14 of the General Data Protection Regulation (GDPR), we inform you below which data we process on felythera.online, for what purpose and on what legal basis, and what rights you have.

2. General information on data processing

We only process personal data insofar as this is necessary to provide a functional website and our content and services, or where you have given your consent. The legal bases are in particular:

• Art. 6 (1) (a) GDPR (consent),
• Art. 6 (1) (b) GDPR (contract / provision of the user account),
• Art. 6 (1) (f) GDPR (legitimate interest, e.g. security and operation of the website).

3. Providing the website and server log files

When you access our website, the hosting provider automatically collects information transmitted by your browser (including IP address, date and time of access, the page accessed, browser type). This is technically necessary in order to display the website and to ensure its stability and security. The legal basis is Art. 6 (1) (f) GDPR. The website is hosted by IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany; a data processing agreement pursuant to Art. 28 GDPR is in place with the provider.

4. Login events (access log)

To protect against misuse, we log login attempts. The username used, the result of the attempt (success/failure), the IP address and the time are stored. These logs are automatically overwritten once a maximum number is reached (rolling storage). The legal basis is our legitimate interest in IT security (Art. 6 (1) (f) GDPR).

5. Cookies and local storage

We use a technically necessary session cookie so that your login persists across pages, as well as a cookie that stores your cookie decision. In addition, we use your browser's local storage (localStorage) to remember comfort settings such as the selected text size. These necessary storage operations are based on § 25 (2) TDDDG (technically required) or Art. 6 (1) (f) GDPR. We only set non-essential cookies (e.g. for statistics) with your consent pursuant to § 25 (1) TDDDG and Art. 6 (1) (a) GDPR. You will find an overview in our Cookie Policy. You can withdraw your consent at any time via the cookie notice or in your profile.

6. Registration and user account

When you register, we process the data you provide in order to set up and manage your account. This includes in particular:

• username (Felyen) and display name,
• email address,
• password,
• postal address (street, house number, postal code, city, country),
• chosen language as well as details relevant within the community (including Felysium, Garmaran, Elýthar, information on the foundation ceremony and named witnesses).

The legal basis is Art. 6 (1) (b) GDPR (provision of the user account) and your consent pursuant to Art. 6 (1) (a) GDPR. To confirm your email address, we send you a one-time code (OTP) by email. Your data is stored for as long as your account exists and is deleted after its removal, unless statutory retention obligations apply.

7. Password reset

To reset your password, we send a time-limited confirmation code to the email address you provided. The codes generated for this purpose are automatically deleted after expiry or use. The legal basis is Art. 6 (1) (b) and (f) GDPR.

8. Sending emails

To send confirmation and notification emails (e.g. registration code), we process your email address. The legal basis is Art. 6 (1) (b) GDPR.

9. Third-party services

To display the website, we embed the following external resources. For technical reasons, your IP address is transmitted to the respective provider:

• Google Fonts (Google Ireland Ltd., Ireland) – fonts are loaded from Google servers. More information: policies.google.com/privacy.
• Font Awesome / Cloudflare CDN (Cloudflare, Inc., USA) – icon fonts are loaded via a content delivery network.

The legal basis is our legitimate interest in an appealing and consistent presentation (Art. 6 (1) (f) GDPR). We are working to serve these fonts locally in the future to avoid transmission to third parties.

10. Disclosure of data

Your personal data is only transferred to third parties insofar as this is necessary for the performance of the contract (e.g. hosting), you have given your consent, or we are legally obliged to do so. Your data is not sold.

11. Storage period

We only store personal data for as long as is necessary for the stated purposes or as long as statutory retention periods exist. The data is then deleted.

12. Your rights

You have the following rights with regard to your personal data:

• right of access (Art. 15 GDPR),
• right to rectification (Art. 16 GDPR),
• right to erasure (Art. 17 GDPR),
• right to restriction of processing (Art. 18 GDPR),
• right to data portability (Art. 20 GDPR),
• right to object to processing (Art. 21 GDPR),
• right to withdraw consent with effect for the future (Art. 7 (3) GDPR).

To exercise your rights, an informal message to the email address above is sufficient.

13. Right to lodge a complaint with a supervisory authority

Without prejudice to any other remedy, you have the right to lodge a complaint with a data protection supervisory authority, in particular the authority responsible for us: Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (https://www.ldi.nrw.de).

14. Data security

We use an encrypted connection (SSL/TLS) when operating the website to protect the data you transmit. We also take appropriate technical and organisational measures to protect your data against loss and unauthorised access.

15. Updates and changes to this privacy policy

This privacy policy is adapted when changes to the website or to the legal situation make this necessary. You will always find the current version on this page.
